    If you’re feeling a dose of déjà vu whenever you open a message from a guest, you’re not alone. There are some topics Hosts are asked about again and again, such as exceptions for pets, wifi codes, directions, best places to eat, and more. Well, there’s an Airbnb template feature that can help: quick replies.

    “I love [quick replies] and use them all the time,” says Host Sally of Snoqualmie, Washington. “Templates save me a lot of time—I was able to answer four guest inquiries in less than 10 minutes! [They also] prevent me from forgetting some key bit of information, and allow me the time to create a well-crafted response—one that has been well-proofread, is crystal clear, and, if appropriate, is especially sensitive to our guest's needs.”

    How to create a quick reply

    To create a quick reply: 

    1. Go to your hosting inbox
    2. Open the folder menu on the left hand side
    3. Select Quick Replies
    4. Click or tap + New Reply
    5. Name the template (this won’t be shown to guests)
    6. Type your message and insert shortcodes (more on those below) to customize the message
    7. Select the language that matches your message, which affects how your shortcodes are translated
    8. Click or tap Save

    How to use shortcodes

    Shortcodes are placeholders that dynamically fill in guest, reservation, and listing details when a message is sent to a guest. Here are 17 examples of shortcodes you can use:

    • Guest’s first name, last name, and phone number
    • Check-in date and time
    • Checkout date and time
    • Cleaning fee
    • Wifi name and password
    • Wifi password
    • Confirmation code
    • Directions
    • Check-in instructions
    • House rules
    • House manual
    • Guidebook
    NOTE: If you haven’t added the corresponding information to your listing, the shortcode will display as /unavailable/ in the message.

    6 message examples

    You may already be using scheduled messages to stay in touch with guests at key reservation moments, like a booking response or a post-check out thank you.

    Quick replies can help you fill in the gaps between these scheduled messages, saving you time if a guest missed the wifi code in your arrival guide or the appliance instructions in your house manual, or has questions about local spots that aren't in your guidebook.

    To help you create common quick replies, here are several examples of possible responses to frequently asked questions.

    1. How to log onto the wifi
    Some guests may miss the wifi instructions in your arrival guide or the scheduled message they receive upon arrival. If a guest reaches out for wifi info, having a quick reply ready can be helpful.

        Happy to help with that info. The wifi network is called [wifi name] and the password is [wifi password]. Please let us know if you have any more questions.

      2. How to use an appliance
      Whether it’s turning on the hot tub or using the espresso machine to craft perfect shots, you can include appliance instructions in quick replies.

        Thank you for asking. The on switch is on the control panel on the front of the hot tub. There you’ll find a green power switch, jet control, and a heater thermostat. The heater will shut off when the water reaches the temperature on the thermostat.

      One common question you may receive is about the availability or location of extra linens. Having a reply at the ready can help you respond easily, especially late at night.
